How do I add a lockbox or keypad (static lock) and make sure my guest receives the code?

Add a fixed-code lockbox or keypad to UpMarket and have the access code sent to your guests automatically before check-in.

If your property uses a key lockbox or a door keypad with a fixed code — rather than a connected smart lock like Nuki or Tedee — you can add it to UpMarket in a couple of minutes. Once it is set up, UpMarket automatically sends the access code to each guest before check-in, so you never have to message codes by hand again.

This guide covers adding the lock, choosing which properties use it, controlling when the code is sent, and sending the code manually for a specific booking.

Lockbox or keypad? Choose Lockbox for a physical box that holds a key, and Keypad for a code panel on the door itself. Both work the same way in UpMarket: you enter the code once, and we deliver it to your guests. No hardware integration is needed.

Step 1 — Open Lock Management

In the left-hand menu, open Online Check-in and click Lock Management (under Configuration).

You'll see all locks on your account — both connected smart locks and any lockboxes or keypads you've already added. Click Add New Lock in the top-right corner.

Step 2 — Fill in the lock details

The Add Lock form opens with Lockbox pre-selected as the lock type.

Fill in the form from top to bottom:

  • Active — leave switched on. Inactive locks never send codes to guests.

  • Lock Type — choose Lockbox or Keypad. (Choosing Smart Lock is only for connected devices and hides the Access Code field.)

  • Access Type — leave as Pin.

  • Properties — select the property (or properties) this lock belongs to. If you leave this empty, the lock is assigned to all of your properties — only do that if the same code really opens every property.

  • Lock Name — a short name your guest will recognise, e.g. Front Door Lockbox.

  • Lock Description — where to find the lock and how to use it, e.g. "Black lockbox mounted on the railing to the right of the main entrance. Enter the code, pull the latch down and take the key inside." This text is included with the code, so write it for your guest.

  • Access Code — the fixed code the guest needs, e.g. 2580.

If you host guests in other languages, use the language tabs above Lock Name to add translated names and descriptions — guests receive the version matching their language where available.

Here is a completed example for a lockbox at the front door of "Beach Studio":

Step 3 — Save and verify

Click Create. Your new lock now appears in the Lock Management list, marked as a Lockbox with source Manual, together with the property it's assigned to.

That's the lock itself done. Next, make sure the property is set to deliver codes.

Step 4 — Check when your property sends codes

Code delivery is controlled per property. Go to Properties → All Properties, open the property, and switch to the Lock Management tab.

Four settings matter here:

  • Enable Lock Code Sharing — must be switched on for this property to send codes at all.

  • Send lock codes for incomplete bookings — by default (off), the code is only sent once the guest has completed online check-in. Only enable this if you want guests to receive codes even without completing check-in.

  • Timing for Sending Lock Codes — how far ahead of your property's regular check-in time the code is sent. The default is 1 day before check-in. You can enter values like 1d 2h 30m, 150m or 5d (maximum 14 days; 0 sends it at the regular check-in time).

  • Code Activation / Deactivation Time — the validity window quoted to the guest: from the activation time on check-in day (default 15:00) until the deactivation time on check-out day (default 11:00).

The bottom of this tab also lists every lock assigned to this property, where you can Assign or Unassign locks without leaving the page.

How your guest receives the code

Once the steps above are done, no further action is needed per booking. For every confirmed booking at the property, UpMarket automatically sends the lock name, the description you wrote, the code, and its validity window — by email, WhatsApp, or the booking channel's messaging, depending on your guest communication setup.

The code goes out at the time you configured (for example, 1 day before check-in), provided that:

  • the booking is confirmed,

  • the lock is Active and assigned to the booking's property,

  • Enable Lock Code Sharing is on for that property,

  • the guest has completed online check-in (unless you enabled Send lock codes for incomplete bookings),

  • we have a valid email address or phone number for the guest.

If you later change the access code, guests with upcoming stays who already received the old code are automatically notified of the new one — and guests are never sent duplicate messages for an unchanged code.

Send the code manually for a specific booking

You don't have to wait for the scheduled time. To send (or resend) access details for one booking right away, go to Bookings, click the menu on the booking's row, and choose Send access details to guest.

You'll see a confirmation that the access details have been scheduled for immediate delivery.

My guest didn't receive the code — checklist

Work through these in order:

  1. Is the lock Active in Online Check-in → Lock Management?

  2. Is the lock assigned to the right property? (Open the lock and check the Properties field.)

  3. On the property's Lock Management tab, is Enable Lock Code Sharing switched on?

  4. Has the guest completed online check-in? If not, either ask them to complete it or enable Send lock codes for incomplete bookings.

  5. Is the booking confirmed, and does it have a valid guest email or phone number?

  6. Has the sending time actually been reached? Codes are sent relative to your regular check-in time — e.g. with a 1-day lead time and 15:00 check-in, the code goes out at 15:00 the day before arrival.

  7. Still stuck? Use Send access details to guest on the booking to trigger delivery immediately — and contact our support team if the guest still doesn't receive it.
